Who we are / Data controller

We operate this customer portal and related infrastructure services. For privacy and data protection inquiries, reach us through live chat in the portal or the support email configured for this service.

Data we collect

We collect the following categories of data:

• Account data: email, name, password hash (or OAuth provider and identifier if you sign in with Google or GitHub), and tenant/account association.
• Orders and provisioning: product choices, billing cycle, options such as hostname and SSH key, and template selection.
• Services and usage: virtual machines and containers you order, their settings, console access, and power actions.
• Billing: payment methods and billing portal usage via Stripe, invoices, and payment history.
• Support: we run live chat ourselves and store your messages, any files you attach, and your session or email if you are signed in. Support conversations are mirrored into private Discord threads our staff use to respond, so message contents and attachments are also processed by Discord.
• Web Design inquiries: contact details, company and current-site information, package and add-on interests, target timeline, and the project goals you submit for sales follow-up.
• Notifications and preferences: in-app and email notification settings.
• Help center: articles you view.
• Audit: staff and system actions for security and compliance.
• Analytics and diagnostics: if you accept optional analytics, PostHog receives page and feature interactions, browser and session identifiers, account context after sign-in, survey responses, and sampled session replay with form inputs masked and sensitive regions blocked. We also process scrubbed application errors and failed-request diagnostics as essential reliability data; these are filtered to remove likely emails, credentials, and tokens before transmission.

How we use your data

We use your data to provide the portal and services (ordering, provisioning, billing, support), review and follow up on Web Design inquiries, send transactional and notification emails, enforce security and acceptable use, comply with legal obligations, and improve our services. We rely on contract performance, consent where applicable, and legitimate interests where appropriate.

Sharing and third parties

We share data only as needed with: Stripe (payments and billing portal), OAuth providers (Google, GitHub) when you sign in with them, Mailgun (transactional email), PostHog (consented product analytics, surveys, masked session replay, and scrubbed reliability diagnostics), Discord (support ticket contents and attachments, mirrored into private staff threads), and our hosting and infrastructure providers (including Proxmox). We do not sell your personal data.

Retention

We retain account and billing data for the duration of your relationship and as required by law. Chat transcripts, analytics and diagnostic records, and audit logs are retained under our internal and provider retention settings. Specific retention periods are available on request.

Your rights

Depending on your location, you may have rights to access, correct, delete, or port your data, to object or restrict processing, to withdraw consent, and to complain to a supervisory authority. Use Account > Preferences, the privacy-page controls, or live chat to exercise these rights. Withdrawing optional analytics consent is as easy as granting it and does not affect essential service features.

Cookies and similar technologies

We use essential cookies and local storage to keep you signed in, remember preferences, record consent, and support security. If you accept optional analytics, PostHog stores browser and session identifiers and may associate activity with your account after sign-in; it also supports surveys and sampled session replay with inputs masked and sensitive regions blocked. We do not use third-party advertising cookies. You can change your choice at any time in Account > Preferences or on this privacy page; choosing essential storage only stops optional PostHog processing and clears its identifier from this browser.
